Health & Safety · Contractors & visitors

Contractors arrive already inducted. Visitors too.

Build the pre-qualification checklist once, send one invite, and each contractor completes it self-service: insurances, RAMS, certificates, induction. On the day, sign-in is a QR scan, and the live register shows who is on site right now.

OpSemble contractor register with pre-qualification status, certificates and expiry dates

What you get

Self-service contractor portal

One tokenised link per contractor. They upload documents and complete the induction on their own phone. No account to manage, nothing to install.

Pre-qualification templates

Reusable checklists: insurances, RAMS, certificates, induction training. Approve when complete, and get expiry reminders on every certificate and policy afterwards.

Induction by link

Induction training completed before they turn up, with the result visible to you and the sign-in blocked until it’s done.

Visitor pre-booking with QR pass

Pre-book a visitor and they get an email invite with a QR pass. Require site documents to be read and signed, or an induction completed, before arrival unlocks sign-in.

Live on-site register and fire roll call

QR sign-in and sign-out at the entrance, a live list of who is on site now, and a fire roll call you can run from a phone at the assembly point.

Multi-site

Each site has its own QR, its own required documents and its own register, with everything rolled up for the safety manager.

How it works

Build the template

What every contractor must provide: insurance, RAMS, certificates, an induction course.

Send one invite

The contractor gets a portal link and completes the checklist on their phone.

Approve

Review what’s uploaded, approve, and let expiry reminders chase the renewals.

On site, scan

Sign-in by QR, live register, sign-out on the way home. Visitors follow the same route with a pre-booked pass.

Contractor management and site induction software for UK SMEs

Under CDM 2015 and the Health and Safety at Work etc. Act, you have to satisfy yourself that the contractors on your site have the skills, knowledge and experience for the job, and you owe visitors a safe site as well. In practice that means chasing insurance certificates by email, keeping a spreadsheet of expiry dates, and a visitor book on the reception desk that anyone can read.

OpSemble turns the chase into a checklist the contractor completes themselves. You build the pre-qualification template once. Each contractor gets one link, uploads what’s required, completes the induction course, and shows as approved when everything is in. From then on the system watches the expiry dates, not you.

Visitors get the same treatment without the paperwork. Pre-book them, and the invite carries a QR pass plus anything they must read and sign first. When they arrive the scan puts them on the live register; when the alarm goes, the fire roll call is that register on a phone at the assembly point, not a signing-in book someone has to go back into the building for.

Contractors and visitors don’t use a seat; only the people who manage them do. It’s all part of OpSemble Health & Safety, with permits to work, RAMS and toolbox talks covering the same contractors, at £9 per user per month plus a £29 platform fee.

Frequently asked questions

Do contractors need an account or an app?

No. Each contractor gets a tokenised portal link. They upload documents and complete induction training in the phone’s browser, with nothing to install.

Can I require documents to be signed before someone arrives?

Yes. For pre-booked visitors and contractors you can require site documents to be read and signed, or an induction to be completed, before the QR sign-in unlocks.

Does it track insurance and certificate expiry?

Yes. Once a contractor is approved, every uploaded certificate and insurance policy carries an expiry date, and reminders go out before it lapses.

Does it work across multiple sites?

Yes. Each site has its own QR code, required documents and live register, and the safety manager sees all of them.

Can I run a fire roll call from it?

Yes. The live on-site register doubles as the roll call, run from a phone at the assembly point.

What does it cost?
