What you get
QR attendance on site
Present the talk, show the QR code, and each attendee signs in on their own phone. No sign-in sheet to lose, photograph or re-type.
Read-and-sign distribution
Attach the briefing document, pick individuals or whole departments, and send. Each person gets a personal link that works on any phone, with nothing to install.
Sign-off status board
See who has received, read and signed at a glance, and chase the people who haven’t. Per talk, per person, live.
Investigation-grade record
Typed name, date and time recorded per person, permanently. The evidence you need on the day an investigator or insurer asks whether someone was briefed.
Site and department scoping
Talks belong to sites and can be sent to the departments that need them, so a warehouse briefing doesn’t land in the sales team’s inbox.
Linked to incidents
Attach the relevant toolbox talks to an incident as evidence that the briefing happened, alongside the risk assessments it covered.
Prove who was briefed, permanently
Attach the briefing document, pick departments or individuals, and send. Each person gets a personal read-and-sign link on their phone; the sign-off status board shows exactly who received, read and signed, with typed name, date and time recorded permanently, ready for the day an investigator asks.
Because toolbox talks live in the same system as your incidents, risk assessments and inductions, the briefing is one click away when you need to show it was given.

How it works
Create the talk
Title, date, site, and the document you already use: PDF, slides or a one-page briefing.
Deliver it
In person with the QR code on screen, or distributed by link to individuals and departments.
People sign on their phone
Typed name, date and time. Anyone on site can scan the QR to attend.
The record keeps itself
The status board shows who has and hasn’t signed, and the record stays with the talk permanently.
Toolbox talk software for UK small businesses
A toolbox talk is only worth anything if you can show it happened. The paper version fails in predictable ways: the sheet gets rained on, the signatures are illegible, the photo of it lives on a supervisor’s phone, and eighteen months later nobody can find the one that matters.
Under the Health and Safety at Work etc. Act, employers must provide the information, instruction and training needed for people to work safely. A signed record is how you evidence that you did. OpSemble records the briefing, the document, and every individual’s sign-off in one place, so evidence is a filter on real records, not a scramble through a filing cabinet.
This isn’t a standalone toolbox talk app. It’s one part of OpSemble Health & Safety, alongside incident reporting, RAMS, permits to work, contractor inductions and a live safety score. The same people, sites and documents are shared across all of it, which is why the talk you gave last Tuesday can be linked to the near miss reported on Thursday.
It’s priced for the size of business that actually gives toolbox talks in person: £9 per user per month for the safety module on top of a flat £29 platform fee, with a 14-day free trial and no card required. Bring your own talk content; there’s no library to pay for.
Frequently asked questions
Do attendees need to install an app?
No. They scan a QR code or open a personal link in the phone’s browser, read the briefing and sign with a typed name. Nothing to install, no account needed.
Can I use the toolbox talks I already have?
Yes. Attach the document you already use. There is no built-in library of talks; you bring your own content and OpSemble handles delivery, sign-off and the record.
Can I see who hasn’t signed yet?
Yes. The sign-off status board shows received, read and signed per person, so you can chase the stragglers before the shift starts.
Does it work for subcontractors?
Anyone on site can scan the QR code to record their attendance at an in-person talk. Distribution by link is for the people and departments set up in your OpSemble tenant.
How long are the records kept?
For as long as you keep your account. Each sign-off is stored against the talk with the typed name, date and time, and can be linked to an incident as evidence.
What does it cost?
Toolbox talks are part of the Health & Safety module at £9 per user per month, on top of the £29/month platform fee. Only the people who manage safety need a seat. 14-day free trial, no card required.
